How the Man-Hours Calculator works

A man-hour is the amount of work one person completes in one hour. Contractors, project managers, and payroll planners use man-hours to size a job, estimate its labor cost, and compare bids on a common unit. This calculator uses the standard labor-estimation formula and then layers in a productivity adjustment so the estimate reflects a real crew instead of a theoretical one.

The formula

For W workers, H hours worked per day per worker, and D workdays, total man-hours is:

Man-Hours = W × H × D

Multiplying man-hours by the hourly labor rate R gives the total labor cost: Cost = Man-Hours × R. Because scheduled hours rarely translate into 100% productive output, the calculator also applies an efficiency percentage E to produce effective (productive) man-hours: Effective Man-Hours = Man-Hours × (E / 100). Dividing total cost by effective man-hours gives the effective cost per productive hour, which is always higher than the nominal hourly rate whenever efficiency is below 100%.

Worked example

Take a crew of 5 workers, each working 8 hours a day for 20 workdays, at $35 per hour, with 85% efficiency. Total man-hours is 5 × 8 × 20 = 800 man-hours. Total labor cost is 800 × $35 = $28,000. Effective man-hours is 800 × 0.85 = 680, so the effective cost per productive hour is $28,000 / 680 ≈ $41.18 — about 18% above the $35 nominal rate, reflecting the lost productivity.

Why the efficiency factor matters

Scheduled hours and productive hours are not the same thing. Breaks, meetings, rework, weather delays, and coordination overhead all reduce how much of a paid hour turns into finished work. Efficiency (also called a productivity factor or crew efficiency rate) captures that gap. Setting it to 100% treats every scheduled hour as fully productive; construction and manufacturing estimators commonly use 70-90% for field labor to build a margin of safety into bids and schedules.

Using the result

  • Bidding a job: total labor cost is the labor line of a bid; add materials, overhead, and margin separately.
  • Comparing crew sizes: the same total man-hours can come from more workers over fewer days or fewer workers over more days — total cost is identical, but the calendar duration changes.
  • Sanity-checking a schedule: effective man-hours divided by daily man-hour capacity gives a rough estimate of how many extra days a low-efficiency crew will actually need to finish the same scope.
