Understanding the Absence Percentage

The absence percentage (also called the absenteeism rate) measures how much scheduled working time was lost to absence over a period. The standard formula is:

Absence rate (%) = total days absent ÷ total scheduled workdays × 100

where total scheduled workdays = number of employees × workdays each employee was scheduled during the period. The same formula works for a single employee (set employees to 1) or a whole company, and it works in hours instead of days as long as both the absent time and the scheduled time use the same unit.

A worked example

Suppose a team of 25 employees is scheduled for 21 workdays in a month, and the team logs 14 days of absence in total. Scheduled workdays are 25 × 21 = 525, so the absence rate is 14 ÷ 525 × 100 = 2.67%. The attendance rate is the complement, 100% − 2.67% = 97.33%, and on average each employee lost 14 ÷ 25 = 0.56 days that month.

Getting accurate results

  • Count only the absence types your policy tracks — most organizations include sick days and unauthorized leave but exclude pre-approved vacation, public holidays, and parental leave. Use the same definition every period.
  • Use scheduled workdays, not calendar days: a typical full-time month has 21–22 workdays and a full year about 260, before subtracting holidays.
  • Do not mix units — if some absences are partial days, either enter them as decimals (half a day = 0.5) or run the whole calculation in hours.

Interpreting the output

A single month can be noisy — one employee with the flu can spike a small team's rate — so trends over several periods matter more than any one number. There is no universal benchmark, but as a rule of thumb many HR teams treat rates under about 2% as low, 2–5% as worth monitoring, and sustained rates above 5% as a prompt to look into causes such as workload, health, scheduling, or engagement. Comparing departments or periods is only fair when the same absence definition and the same period length are used throughout.
